About the role

The council's Executive Assistants play a vital role in providing executive support to the council's Corporate Leadership Team.  As an Executive Assistant, you will provide executive support the council’s corporate leadership team members.

 

As an Executive Assistant, you will be experienced, confident, discreet and able to work under significant pressure. You will need to be able to work under minimal supervision, working alone and as part of an extended team.

 

What will you be doing?

As an Executive Assistant, you will have a range of responsibilities including:

  • Maintaining realistic and manageable diaries.
  • Ensuring all aspects of meetings/ conferences are organised, agendas developed, and prompt action taken maintaining timely responses to deadlines at all times.
  • Attending and minuting meetings.
  • Remain conversant with workloads for the Corporate Leadership Network in order to assist with management of workload and field enquires on service issues.
  • Liaising with members of the public and elected Members on behalf of colleagues in the Corporate Leadership Network.
  • Undertaking tasks for the team, project work and research as directed with minimal supervision.
  • Receive, sort and prioritise mail, and emails, redirecting as appropriate and responding to all routine correspondence without direction.
  • Providing cover across the team as and when required.
  • Supporting colleagues in the Executive Support Team.

About you

You will be able to demonstrate a good level of general education to GCSE standard in Mathematics and English or equivalent along with advanced IT Skills in MS Office, plus NVQ 3 or equivalent, or a willingness to train.

Previous experience of working as an Executive Assistant and substantial experience in use of IT systems e.g. Word processing, spreadsheets, internet, Excel, power point is essential.  You will be aware of the requirement for confidentiality at all times.

You must have the ability to work as part of a multidisciplinary team and establish good working relationships, able to arrange conferences and meetings, act on your own initiative, able to contribute positively at team meetings and have excellent communication skills, both orally and written.

You will have the ability to complete tasks and projects on time and to a high standard, demonstrating a can-do attitude, ability to prioritise and manage own workloads and a willingness to work flexibly.
